Who we are

RNA Bookkeeping LLC (“RNA Bookkeeping”, “we”, “us”) is a bookkeeping practice registered in California, at 2120 Market Street, Suite 400, San Francisco, CA 94114. What we collect

When you contact us

Our contact form collects your name, business name, email address, telephone number, the service you are interested in, your approximate transaction volume, how current your books are, and whatever you write in the message field. We collect this only to answer your inquiry and prepare a quote.

When you pay an invoice

Our payment page collects your name, email address, the amount and an optional invoice number. Card details are entered directly into a secure field hosted by Square and are never transmitted to, processed by, or stored on our servers. We receive only a confirmation containing the payment amount, the card brand, the last four digits and a transaction reference. Square’s own handling of your card data is governed by Square’s privacy notice.

When you become a client

Delivering bookkeeping services requires access to your financial records: bank and credit card statements, invoices, receipts, payroll records and your accounting file. Bank connections we use are read-only. We access this information solely to perform the services you have engaged us for.

Automatically

Our server logs the IP address and browser user-agent attached to form submissions, as a record of who sent what and to detect automated abuse. This site sets no advertising or analytics cookies and runs no tracking pixels. Your light/dark theme preference is stored in your own browser’s local storage and is never sent to us.

Third parties your browser contacts

• Square — loads the secure card field and processes payments, on the payment page only.
• Google Fonts — serves the typefaces used on this site. Google receives your IP address as part of that request.

We do not sell, rent or trade your personal information to anyone, for any purpose, ever.

Who else sees your information

We share information only with:

• Service providers who process it on our behalf under contract — our payment processor, accounting software platforms, payroll providers and secure document storage.
• Your own CPA, attorney or advisors, when you ask us to.
• Government authorities, where the law requires it of us.

How long we keep it

Inquiries that do not become engagements are deleted within 24 months. Client financial records are retained for seven years after an engagement ends, which is the period relevant tax and professional record-keeping rules require. Payment records are retained for seven years. You may ask us to delete anything we are not legally required to keep.

How we protect it

• Transport encryption (TLS) across the whole site.
• Card data is never handled by us — it goes directly to Square, a PCI-DSS Level 1 certified processor.
• Two-factor authentication on every system that holds client data.
• Read-only bank connections, so we can see transactions but never move money.
• Access removed on the day an engagement ends or a team member leaves.

Your rights

You may ask us for a copy of the personal information we hold about you, ask us to correct it, ask us to delete what we are not required to retain, or withdraw consent to being contacted. Email [email protected] and we will respond within 30 days.

If you are a California resident, the CCPA gives you the rights to know, delete, correct and opt out of sale. We do not sell personal information, so there is nothing to opt out of, and we will never discriminate against you for exercising any of these rights.

Children

This site and our services are for businesses. We do not knowingly collect information from anyone under 18.

Changes

If we change this policy we will update the effective date above, and we will tell active clients by email before any material change takes effect.
